How to Create an Asset in FixAhead

FixAhead allows you to manage your physical and digital assets efficiently by organizing them with detailed attributes, custodians, and QR codes for tracking. This guide walks you through the process of creating an asset and explains each asset status available in the system.

Step 1: Access the Asset Management Section
  1. Log in to your FixAhead admin or manager account.

  2. Navigate to the Assets section using the sidebar.

  3. Click the “Add Assets” button on the top right.

Step 2: Fill in Asset Information

In the “Add New Asset” modal, you will see a two-step form:


Tab 1: Basic Asset Details
  • Cover Image (optional): Upload a photo for easy identification (Max 5MB).

  • Asset Name (required): Enter a clear and descriptive name.

  • Location (required): Select the location from your organization’s predefined list.

  • Category (required): Assign a category such as Equipment, IT Hardware, Furniture, etc.

  • Status (required): Choose the current operational status of the asset (explained below).

  • Custodian (optional): Assign a person responsible for this asset.

  • Tags (optional): Add relevant tags for quick filtering.

  • Click “Additional Details” to proceed.


Tab 2: Additional Information
  • Type Description: Provide a short description of the asset type or specifications.

  • (Optional) Add further fields as per your configuration.

Once the information is complete, click “Create Asset” to finalize.


A QR Code will automatically be generated for the asset upon creation, which can be used for physical labeling and quick access in the system.

Asset Statuses Explained

Selecting the right status ensures accurate reporting and asset lifecycle tracking within FixAhead. FixAhead supports multiple asset lifecycle statuses. Here’s what each one means:


StatusDescriptionActiveThe asset is operational and available for use. It is currently tracked and maintained.

Under MaintenanceThe asset is temporarily out of service for repairs or scheduled maintenance. Not available for regular use during this period.

InactiveThe asset is not currently in use, but is still part of the organization’s inventory. It may be stored or waiting to be reassigned.

Decommissioned
The asset is permanently retired and no longer part of your active inventory. It may be sold, scrapped, or recycled.

Asset Views

You can view assets in two formats:

  • Gallery View: Card-based layout for visual overview.

  • Table View: Spreadsheet-style layout for data-heavy management.

Use the search bar and filters (location, category, tags, custodian) to narrow down the asset list.
