How to Create a Work Order in FixAhead

Work Orders in FixAhead help streamline the resolution of reported issues by assigning tasks to technicians and standardizing procedures. This guide outlines the step-by-step process to create and manage a work order effectively.

Prerequisites

Before creating a work order, make sure:


  • The asset related to the issue has been added to the system.

  • The issue you want to address has already been reported.

  • Technicians (primary and secondary) are set up in the user directory.

  • Applicable procedures are created or available in the system library.

Steps to Create a Work Order Step 1: Open the Work Order Module
  1. Log in to your FixAhead account.

  2. From the left sidebar, click Work Orders.

  3. Click the blue Add Work Orders button located at the top right.

Step 2: Select Work Order Details

In the first tab, you will be prompted to fill in the core details of the work order:

  • Asset:
    Select the asset for which the work order is being created.

  • Issue:
    Choose the related issue from the list of reported issues tied to the selected asset.

  • Media (Optional):
    Upload relevant files (e.g., photos, documents) that support the work order. You can drag files into the upload area or click browse. Maximum file size is 10MB.

Click Next to continue.

Step 3: Assign Technicians

In the second tab, assign responsible personnel:

  • Primary Technician:
    Select the main technician who will handle the work order.

  • Secondary Technician (Optional):
    Select a backup technician or supporting personnel if needed.

Click Next to proceed.

Step 4: Select or Create a Procedure

In the third section, define how the task will be executed:

  • Select Procedure:
    Choose a predefined procedure from the system library.

  • Custom Procedure:
    Create a new procedure manually if the required steps are unique to this work order.

Only one type may be selected. Be sure the chosen procedure aligns with the work order requirements.

Click Next to move on.

Step 5: Finalize Work Order Details

In the last tab, fill in the remaining details:

  • Work Order Name:
    Enter a clear and concise name that describes the task.

  • Priority:
    Enable the toggle to mark the work order as High Priority if it requires immediate attention.

  • Description:
    Provide a comprehensive description of the work that needs to be performed.

  • Due Date:
    Select the expected completion date for the work order. This helps with scheduling and accountability.

Once all fields are complete, review the information for accuracy.

Step 6: Submit the Work Order

After reviewing all details across the tabs, click Submit to create the work order.

The new work order will appear under the Assigned tab in the Work Orders section. As work progresses, its status will move through the following stages:

  • Assigned

  • In-Progress

  • Completed

  • Closed

Tips for Effective Work Order Management
  • Use descriptive names and detailed descriptions for clarity.

  • Always attach visual evidence when available to avoid miscommunication.

  • Prioritize urgent work orders to ensure timely resolution.

  • Monitor due dates to keep work orders on schedule.

  • Ensure technicians have access to required procedures and assets.
