Creating Maintenance Procedures in FixAhead CMMS

Overview

Maintenance Procedures are standardized step-by-step instructions for performing maintenance tasks. They ensure consistency, compliance, and safety across your team's work. Procedures can be linked to assets, work orders, and preventive maintenance schedules.

Prerequisites
  • Permissions: Administrator or "Owner" role

  • Navigation Path:
    Dashboard → Library → Maintenance Procedures

Step-by-Step Creation Guide1. Access Maintenance Procedures
  • Go to Maintenance Procedures in the left navigation menu

  • Click Add Procedure (top-right button)


2. Configure Basic Details

  • Procedure Name (Required):

    • Descriptive title (e.g., "Monthly HVAC Filter Replacement")

    • Maximum length: 100 characters

  • Description (Required):

    • Overview of the procedure's purpose and scope

    • Example: "Standard process for inspecting and replacing air filters in rooftop HVAC units"


3. Set Requirements

  • Mandatory Task?

    • Toggle ON to force completion before closing work orders

  • Photo Required?

    • Enable to mandate photographic proof of task completion


4. Build Task List

  • Tasks Section:

    1. Click Add tasks

    2. Enter step-by-step instructions (e.g., "Shut off power at main breaker")

    3. Add unlimited tasks using the + icon

  • Task Formatting Tips:

    • Start with action verbs ("Inspect...", "Tighten...")

    • Include safety warnings: [!] Wear PPE before proceeding

    • Reference manuals: (See Fig 3.2 in OEM Manual)


5. Finalize
  • Add Procedure: Saves to library

  • Cancel: Discards inputs

  • Confirmation: Procedure appears in master list
